Job Purpose
The key purpose of this role is to support the finance function by accurately processing supplier invoices, credit card transactions and employee expense claims, maintaining purchase ledger records, reconciling accounts, and ensuring timely payments to suppliers.
Working within a small team the Purchase Ledger Assistant will also be expected to carry out any tasks relating to other functions within the finance department, to ensure continuity of service.
Key Accountabilities
1. Monitor, review and maintain the Accounts mailbox and distribute to appropriate team members and circulate purchase invoices for approval/ maintain invoice log.
2. Reconcile purchase orders, invoices received and approved, credit card statements and employee expense claims. Allocate and post within Dynamics 365 Business Central (ERP system) to the correct cost codes.
3. Maintain the purchase ledger and reconcile supplier statements to identify, investigate and resolve queries and invoice disputes, thus, supporting the provision of reliable, up to date financial information for the business.
4. Escalate any supplier issues to the Management Accountant, to raise awareness of supplier issues.
5. Answer telephone calls to the wider business, transferring calls to other departments and deal with enquiries from suppliers to ensure matters are resolved as quickly and efficiently as possible.
6. Build relationships with internal stakeholders across the business and with external suppliers and contactors as appropriate, to facilitate the efficient management of the ledger.
7. Oversee certain business accounts (eg, Dart charge, Fuel cards, TFL/ congestion charges etc).
8. Assist and support the Finance team during the annual audit and other regularity checks.
9. Provide ad hoc administrative support to the finance, as and when needed.
Experience and Skills Required
· Purchase ledger experience is advantageous but not essential.
· Prior experience of using accounting packages is beneficial.
· Competent using Microsoft Excel, Outlook and Teams.
· Attention to detail and ability to work accurately in a busy, demanding environment.
· Good communication skills both verbal and written.
· Organised and methodical in approach to work.
· Flexible team player with the ability to work proactively.
